In line with the Information Privacy Act 2009 (Qld) (the IP Act) and the Privacy Act 1988 (Cth.) (the Privacy Act) we are required to have a Privacy Policy. This webpage and our Privacy and Right to Information – Operational Policy make up our Privacy Policy. This webpage contains information about our handling of personal information, as required by the Queensland and Australian Privacy Principle 1.
Information privacy
The IP Act primarily governs the way we collect, hold, provide access to, use and disclose personal and sensitive information. This includes dealing with any complaints about our handling of your personal and sensitive information. In some cases, the Privacy Act may apply and govern how we manage your personal information e.g., when handling Tax File Numbers, commonwealth funding arrangements and federal contracts.

Privacy statement
UniSC is committed to protecting the privacy of all individuals who interact with and provide their personal information to us.
Further information on how we manage information can be found in our Privacy and Right to Information Operational Policy and Privacy Management Procedures.
What data we manage
The kinds of personal information we collect, hold, use and disclose is set out in the 'Management of personal information' section of this webpage.
We collect and use personal information required to exercise our functions under the University of the Sunshine Coast Act 1998 (Qld), primarily to deliver services as a higher education institution, and to meet our various legal obligations. We also collect personal information to communicate with you and support other business functions and associated services, such as human resource management, delivery of community and health services, research, marketing, engagement with alumni, schools and the community. We also strive to improve and personalise the delivery of our services and we may use personal information for this purpose.
Should you choose not to provide your personal information we may be unable to provide you with the relevant service or services or communicate with you as anticipated at the time of collection.
The purposes for which we collect, hold, use, and disclose personal information is set out in more detail in the 'Management of personal information' section of this webpage.
As part of carrying out our functions we may collect personal information in writing or recording, directly from individuals who access our services and if it is unreasonable and impracticable then indirectly from third parties. For example, when reasonably expected or agreed to, when seeking parent/guardian consent for minors, when using translators and interpreters, in emergencies for health, safety and wellbeing, and for law enforcement activities.
We may collect personal information from you in person, via phone, email, post, our online sites, forms, virtual meetings, recording devices, or other digital platforms and devices. Biometric, health and genetic data may be also collected through sampling and observation if you are using sports and health services, or participating in research.
We also utilise digital tracking tools such as cookies, on our websites and social media channels for automatic collection of information to improve your experience with the University. Some are for the technical functioning of the sites (essential). A cookie is a small piece of data that is stored on a visitor’s computer or mobile device, that is sent back to the website's server as you revisit the site or channels. We will ask you to consent to cookies, and/or provide for users to update their preferences when they visit these sites or channels.
We will generally only collect sensitive information directly from the person it is about and with their consent, or otherwise in accordance with our obligations under the IP Act and in some cases the Privacy Act.
We use your personal information in a responsible, ethical, and secure manner. We take reasonable steps to ensure the personal information we hold about you is accurate, up-to-date, complete, and not misleading, as well as, protected from misuse, interference, loss, and unauthorised access, modification or disclosure.
Personal information is accessed by our authorised staff members and service providers from our internal and third-party systems. Some are online with your personal information stored in a secure data centre.
Your personal information is retained in accordance with our Records Management - Procedures, until it is no longer required for the purpose it was collected, or required under a law. We will destroy or deidentify unsolicited personal information or personal information no longer required for a purpose for which it may be used or disclosed under the IP Act, if it is lawful and reasonable to do so, and when the Public Records Act 2023 (Qld) permits.
Your rights
You have the following rights under the IP Act in relation to your personal information. You may have additional rights if your personal information is subject to other Australian and international privacy laws.
You can deal with us anonymously or by using a pseudonym for some enquiries, complaints and other interactions with us. However, in general it is not possible for you to remain anonymous or use a pseudonym.
Depending on the nature of the interaction or the purpose for which we are collecting your personal information, we may not be able to provide the relevant service, or action and/or provide a response without your identity. For example:
- where a matter relates to your file, like a health file held about health services provided to you; and
- lodging a privacy complaint - we are required to collect information such as your name, contact details and particulars of your complaint so we can deal with it effectively and in accordance with our functions.
Our main enquiry phone line automatically detects your phone number and will identify you if you are an active student, unless you block your number.
You have the right to request access to your personal information we hold. You have the right to request we amend your personal information if you believe it is inaccurate, incomplete, out-of-date, or misleading. You must provide proof of your identity before we can process these requests. You can submit a request through the administrative access scheme or a formal application. Please visit our Right to information web page to learn more.
Should you have concerns about how we have managed your personal information please contact us to discuss them. If you are not satisfied with the outcome, you can make a formal privacy complaint, especially if you are concerned we have not handled your personal information in accordance with the IP Act or in some cases the Privacy Act.
How to lodge a formal privacy complaint
1. Contact our RTI-Privacy Officer for a copy of the Complaint Form.
2. Submit your complaint and any supporting documents to our RTI-Privacy Officer by email or post.

3. Email our RTI-Privacy Officer an address for us to respond to, including details of your complaint and how you believe we breached the IP Act or where applicable, the Privacy Act.
If you are unable to lodge the complaint, another person can do this on your behalf with proof of their authority, such as documents to show they are your parent or guardian if you are a minor, written consent from you, or legal authority (e.g., a valid power of attorney, or guardianship order) to act on your behalf.
For complaints made under the IP Act -
We will acknowledge your complaint and investigate this. We may contact you for further details to assist us to respond to your complaint. We will respond to you in writing within 45 business days from the receipt of your complaint with the outcome of our investigation. We may also request you provide us with extra time to respond to you.
For complaints made under the Privacy Act -
Within 7 days after your complaint is made, we will acknowledge your complaint in writing and set out how we will deal with your complaint. We will investigate your complaint and may contact you for further details to assist us to respond to your complaint. We will respond to you in writing within 30 days after your complaint is made with the outcome of our investigation. We may also request you provide us with extra time to respond to you.
For complaints made under the IP Act -
If you do not receive a response within 45 business days or are not satisfied with the University’s response, you are entitled to lodge a written complaint to the Office of the Information Commissioner (OIC) Queensland for review and mediation.

Management of personal information
We have a legal basis for collecting and dealing with your information under the University of the Sunshine Coast Act 1998 (Qld) and other applicable laws. How we manage your personal information will depend on how you engage with us. We regularly interact with the following groups of individuals. More specific information on how we manage their personal information is set out in each group.
This section applies to you if you are a student applying for enrolment, a prospective, current, higher degree research, international, exchange, or past student (alumni).
Legal basis for collection, use and disclosure - General and University Sector Retention and Disposal Schedules, Higher Education Funding Act 1988 (Cth), Higher Education Support Act 2003 (Cth), the Education Services for Overseas Students Act 2000 (Cth) and the Migration Act 1958 (Cth).
The kinds of personal information we collect and hold:
- Personal details, including name, contact (such as phone numbers, email, postal and home address, and emergency contacts) and identification (such as images, identifiers like a USI, identity documents like student card, visa, passport and driver’s licence details).
- Demographics, including date of birth, gender, equity group, country of birth, citizenship and residency, education, previous employment, linguistic and cultural background.
- Financial information (such as course, service and other transactions, fees, charges, contributions, subsidies, government loans and assistance, Tax File Number, health insurance, applied for and awarded scholarships and bursaries, card and bank details).
- Academic records, including those related to admission (such as visa information, language proficiency test results), enrolment, recognition (such as existing qualifications), attendance, progress, extensions, assessment and course results, appeals, misconduct matters, travel and clearance details for study overseas, internships, practicums, placements, industry project and field experience (such as travel locations and booking details, immunisation and vaccination status, security clearances, blue card, working with children and criminal history checks), and image and audio recordings for learning and assessment.
- Support and information services records, including those related to administration, libraries (such as usage, account details, financial penalties), sport and fitness services and facilities (such as usage, health conditions, membership details), IT services and equipment use (such as usage, account details and computer and terminal activity), safety (such as building/room access and image surveillance recordings on our premises), academic mentoring, personal, study and career counselling, equity group, health and wellbeing support (such as usage, academic, employment, medical and health data, consultation and treatment notes) and parking information (such as vehicle registration).
- Personal records, including those related to campaigns and events (such as registrations, photos and other recordings for graduation and orientation), enquiries (such as enquirer’s circumstances, opinions about other people, audio recordings of our main phone line), correspondence between you and the university, complaints, feedback, surveys (such as employment outcomes), incidents and injuries, membership of committees, applications for and award of prizes, scholarships and grants and other forms of student assistance.
We collect, hold, use and disclose your personal information to:
- administer and manage the provision of educational and support services, including admission, enrolment, recognition, academic standing, learning and assessment, academic administration, study overseas, internships, practicums, placements, industry project and field experience;
- administer learning and support services, such as library and information technology, email, online teaching and resources;
- administer financial services, including scholarships and bursaries, subsidies, government loans and assistance payments, billing and collection of fees, charges, and contributions, merchandise sales, orders, purchases for programs, training and events, services and memberships;
- provide departments of the Australian government and other bodies, as required by law, such as:
- statistical information about your enrolment and study details;
- financial information in relation to your loan schemes;
- identifying data for the allocation of government identifiers;
- matters related to international student visa conditions;
- Overseas Student Health Cover (OSHC) details to international student’s health care providers;
- Reporting certain events to the Australian Health Practitioner Regulation Agency (AHPRA) for students in courses covered by the Health Practitioner Regulation National Law Act 2009 (Qld);
- administer student committee elections and appointments;
- manage and investigate complaints, conduct, and disciplinary matters;
- enhance and personalise the delivery of all our services to students including course quality, facilities access, safety, health and wellbeing;
- maintain accurate and up-to-date student records;
- perform research and statistical analysis to optimise outreach and service delivery;
- provide you with direct marketing materials, such as students newsletters and invitations to our events (e.g., for open days, Connect Week, and graduation ceremonies);
- administer support and information services;
- issuing identification and access to premises;
- enable security and other health and wellbeing services for your and other’s safety, health and wellbeing; and
- respond to emergencies and notify your emergency contacts, emergency services, or the relevant authority in an emergency, to lessen or prevent a serious threat to yours or another person’s life, health or safety or public health or safety, where it is impractical to obtain your consent, or if there are reasonable grounds to be concerned about your welfare or safety.
We may disclose your personal information outside the University in limited circumstances. This may be to:
- Australian and Queensland government departments and agencies (such as Department of Education; Services Australia; Australian Taxation Office; Department of Foreign Affairs and Trade; and for international students the Department of Home Affairs);
- industry bodies and associations, regulatory, professional registration, accrediting external checking and verification bodies, as required;
- tertiary admissions centres (such as Queensland Tertiary Admissions Centre);
- host educational institutions in which students undertake study overseas, and external organisations in which students undertake internships, practicums, placements, industry project and field experience;
- scholarship providers and student sponsors (where there is an agreement between the student and the provider/sponsor or the student authorises release);
- your financial institution (where required for refunds and payments of scholarships);
- third-party vendors who assist us with the provision of services to you or that support your engagement with us (such as information technology service providers and professional service advisors); and
- your emergency contacts, health and medical bodies (with your consent or in an emergency).
This section applies to you if you are a prospective, current or past employee (academic and professional), casual or sessional staff member, council member, or other non-paid appointment (e.g. volunteer), job applicant, visiting academic and researcher.
Legal basis for collection, use and disclosure - the Fair Work Act 2009 (Cth.), our Enterprise Agreements and contracts with employees.
The kinds of personal information we collect and hold:
- Personal details, including name, contact (such as phone numbers, email, postal and home address, and emergency contacts) and identification (such as images, identifiers like an employee ID, identity documents like staff ID card, passport and driver’s licence details).
- Demographics, including date of birth, gender, equity group, country of birth, citizenship and residency, education, previous employment, linguistic and cultural background.
- Employee images and audio recordings for work meetings, learning and assessment.
- Financial information, including professional development applications and costs, payroll and pay related records, reimbursements, banking details, tax file numbers, salary packaging, and superannuation fund details, merchandise sales, orders, purchases for programs, training and events, services and memberships;
- Support and information services records, including those related to administration, libraries (such as usage, account details, financial penalties), sport and fitness services and facilities (such as usage, health conditions, membership details), IT services and equipment use (such as usage, account details and computer and terminal activity), safety (such as building/room access and image surveillance recordings on our premises), and parking information (such as vehicle registration).
- Recruitment, selection and appointment records, including work and education history, copies of qualifications and certifications related to role applied for, job applications, employment contracts and conditions of employment, position classifications, references, security clearances and checks (such as previous employment check, criminal history check, working with children check, and immunisation status where applicable).
- Employee records relating to professional registrations and certifications, declarations (such as conflicts of interest and gifts), working hours, attendance, past and current position/s, leave and other entitlements applied for and taken, superannuation, termination, performance planning and appraisals, professional development and training, probation, promotions, disciplinary matters and investigations, and information in relation to university work, research, publications, grants, awards, and honours.
- Travel records related to university work, including study tours, research, professional development (such as passports, visas, health insurance, location and booking details).
- Health and wellbeing information, including medical records, records relating to incidents, injuries, compensation and rehabilitation (such as health conditions and status, claims, work and functional capacity, health and medical provider information).
- Personal records, including those related to campaigns and events (such as registrations, photos and other recordings for graduation and orientation), enquiries (such as enquirer’s circumstances, opinions about other people, audio recordings of our main phone line), correspondence between you and the university, complaints, feedback, surveys (such as equity group and job satisfaction data), and membership of committees.
We collect, hold, use and disclose your personal information to:
- administer your employment, including to administer and enhance staff services and benefit schemes;
- manage financial related services, including your remuneration, benefits, employment conditions, payroll processing, superannuation administration, insurance, work-related travel and staff training and development;
- manage workforce planning, employee conduct and performance through the management of human resource related services, such as recruitment, selection and appointment functions, including verifications and checks for your engagement, employment conditions, termination, performance planning and appraisals, professional development and training, probation, promotions, disciplinary matters and investigations;
- manage and investigate complaints, conduct, and disciplinary matters;
- enhance and personalise the delivery of all our services to employees including facilities access, safety, health and wellbeing;
- maintain accurate and up-to-date employment records, in accordance with workplace laws;
- to administer University services such as IT, library, sport and fitness services and facilities;
- obtain work health advice, to comply with our duties in accordance with health and safety laws, in relation to individuals with disabilities, rehabilitation and return to work processes;
- enable risk management, workplace health and safety and workers’ compensation matters and reasonable adjustment decisions and actions;
- publish university research, publication, the staff directory, staff news, and other disclosures for business purposes;
- issue grants, awards, and honours;
- benchmarking, reporting, analysis, quality assurance, evaluation, and planning purposes;
- administer support and information services;
- issuing identification and access to premises;
- enable security and other health and wellbeing services for your and other’s safety, health and wellbeing; and
- respond to emergencies and notify your emergency contacts, emergency services, or the relevant authority in an emergency, to lessen or prevent a serious threat to yours or another person’s life, health or safety or public health or safety, where it is impractical to obtain your consent, or if there are reasonable grounds to be concerned about your welfare or safety.
We may disclose your personal information outside the University in limited circumstances. This may be to:
- Australian and Queensland government departments and agencies (such as the Australian Taxation Office);
- industry bodies and associations, regulatory, professional registration, accrediting external checking and verification bodies, as required;
- third-party vendors who assist us with the provision of services to you or that support your role as an employee;
- WorkCover and rehabilitation providers;
- your superannuation provider and financial institution (payment information only); and
- your emergency contacts, health and medical bodies (with your consent or in an emergency).
This section applies to individuals who are participating in research projects, whether as a volunteer or on a paid basis. This includes mental health and neuroscience research undertaken through the Thompson Institute.
The types of personal information that we collect will depend on the type of the research activity. You will be provided with a Research Participant and Information Sheet (collection notice and consent form) that will further set out the personal information to be collected as part of the research project, including how we intend to use and disclose this.
The kinds of personal information we collect and hold:
- Personal details, including name, contact (such as phone numbers, email, postal and home address, and emergency contacts) and identification (such as images, identity documents like passport and driver’s licence details).
- Demographics, including date of birth, gender, country of birth, citizenship and residency.
- Support and information services records, including those related to safety, (such as building/room access and image surveillance recordings on our premises) and transport (such as cab booking details) or parking information (such as vehicle registration).
- Records relating to research, including records for eligibility (such as those confirming age and residency), management of consent to participate, correspondence between you and the university, participant images, audio recordings and surveys.
- Health information, including health and medical history, information about disabilities, medical and health conditions, medications, biometric and genetic information (such as blood and saliva samples), records of incidents, illness and injuries, assessments, consultation and treatment notes, health and medical related information from treating practitioners.
- Personal records, including those related to enquiries (such as enquirer’s circumstances, opinions about other people, audio recordings of our main phone line), correspondence between you and the university, complaints, feedback, surveys (such as satisfaction data), incidents and injuries.
We collect, hold, use and disclose your personal information to:
- administer research programs;
- contribute to the University’s educational, research and development activities in relevant fields;
- release de-identified research publications for the public;
- manage and investigate complaints;
- enhance and personalise the delivery of all our services to research participants including facilities access, safety, health and wellbeing;
- administer support and information services;
- enable security and other health and wellbeing services for your and other’s safety, health and wellbeing; and
- respond to emergencies and notify your emergency contacts, emergency services, or the relevant authority in an emergency, to lessen or prevent a serious threat to yours or another person’s life, health or safety or public health or safety, where it is impractical to obtain your consent, or if there are reasonable grounds to be concerned about your welfare or safety.
We may disclose your personal information outside the University in limited circumstances. This may be to:
- research partners, volunteers and higher degree research students;
- partner Universities’ researchers and Human Research Ethics Committees;
- external organisations involved in the research activity (such as Pathology laboratories);
- transport companies (such as airlines and car hire group); and
- your emergency contacts, health and medical bodies (with your consent or in an emergency).
De-identified results of research projects may be presented at external or internal conferences or meetings, or by publication. These may also be shared under agreements with funding bodies, organisations, external bodies, such as the National Health and Medical Council (NHMRC), and government departments and agencies.
UniSC clinics are open to the public and includes clinics offered through the Thompson Institute. These offer services that are overseen by appropriately qualified and experienced professionals while providing opportunities for students to gain practical experience at various stages of their studies. Some clinics are not available for current UniSC staff, students enrolled in the courses affiliated with the clinic, and their immediate family members. The types of personal information that we collect will depend on the type of clinic you engage with. You will be provided with a collection notice and consent form upon acceptance into a clinic.
This section applies to you if you are a prospective, current, or past health clinic clients.
The university operates a range of health clinics:
- Community counselling,
- Mental health (Thompson Institute),
- Nutrition and dietetics,
- Occupational therapy, and
- Psychology.
The kinds of personal information we collect and hold:
- Your personal details, including name, contact (such as phone numbers, email, postal and home address, and emergency contacts) and identification (such as images, identity documents like passport and driver’s licence details).
- Other’s personal details, including name and contact information of dependents and other family members, carers, and of medical and health professionals who are currently or have previously provided you treatment.
- Demographics, including date of birth, gender, cultural background.
- Support and information services records, including those related to safety (such as building/room access and image surveillance recordings on our premises), and parking information (such as vehicle registration).
- Financial records related to the treatments given and associated fees charged.
- Health information, including health and medical history, information about disabilities, medical and health conditions, medications, weight and measurements, allergies and dietary intolerances, physical activity, cognitive and self-care levels, developmental milestones, biometric and genetic information, records of incidents, illness and injuries, medical assessments, consultation and treatment notes, images and audio recordings (such as interviews, medical body imaging and scans), health and medical related information from treating practitioners, correspondence between you and the clinic, or your health service provider and the clinic.
- Personal records, including those related to enquiries (such as enquirer’s circumstances, opinions about other people, audio recordings of our main phone line), correspondence between you and the university, complaints, feedback, surveys (such as satisfaction data), incidents and injuries.
We collect, hold, use and disclose your personal information to:
- manage and investigate complaints;
- enhance and personalise the delivery of all our services to clinic clients including facilities access, safety, health and wellbeing;
- administer support and information services;
- enable security and other health and wellbeing services for your and other’s safety, health and wellbeing;
- respond to emergencies and notify your emergency contacts, emergency services, or the relevant authority in an emergency, to lessen or prevent a serious threat to yours or another person’s life, health or safety or public health or safety, where it is impractical to obtain your consent, or if there are reasonable grounds to be concerned about your welfare or safety; and
- provide community services on;
- Community counselling – To give personalised advice on specific areas (such as anxiety, depression, stress, life transitions and adjustments, grief and bereavement, relationship issues, parenting, anger management) and administer community counselling programs for children, adults, couples and families including referrals, eligibility screening, assessments, counselling and treatments.
- Mental health – To give personalised advice on specific areas (such as mental health and wellbeing), and administer clinical programs and research for adults and adolescents, including referrals, eligibility screening, assessments, and wellbeing support.
- Nutrition and dietetics – To give personalised nutrition and dietary advice for specific areas (such as sports performance and exercise related nutrition, optimal nutrition in general, body composition, weight and chronic condition management), administer programs for adolescents and adults, including eligibility screening, assessment, nutrition and dietary consultancy, education and treatment.
- Occupational therapy – To give personalised advice for specific areas, and administer occupational therapy programs for children and adults, including eligibility screening, assessment, occupational therapy consultancy and treatment.
- Psychology – To give personalised advice on specific areas (such as emotional and mood problems, fears and phobias, sleep problems, health-related behaviour change, chronic pain, relationship problems, stress and trauma, parenting support), and administer psychology programs for children (aged 6 or older) and adults, including referrals, eligibility screening, basic cognitive and psychological assessments, psychology consultancy, and short-term interventions.
We may disclose your personal information outside the University in limited circumstances. This may be to:
- government agencies and departments (Queensland Health, State child protection agency);
- industry bodies and associations, regulatory, professional registration, accrediting external checking and verification bodies, as required (AHPRA, Office of the Health Ombudsman (Qld));
- external health practices and treating practitioners of the client;
- escalation of care to crisis support services if we feel your safety is at risk; and
- your emergency contacts, health and medical bodies (with your consent or in an emergency).
This section applies to you if you are a prospective, current, or past tax clinic client. These are Australian taxpayers, who are living or operating a small business in Australia, not currently represented by a tax agent and unable to access paid tax advice and assistance.
The kinds of personal information we collect and hold:
- Personal details, including name, contact (such as phone numbers, email, postal and home address, and emergency contacts) and identification (such as images, identity documents like passport and driver’s licence details).
- Financial information is sighted but will not be held. Depending on the service this can include income and expenditure records such as financial institution statements, payment and income summaries, business statements, investments and assets (e.g., shares, property, crypto), receipts for work-related expenses (e.g., travel for work, working from home, purchased work equipment, union fees, subscriptions to trade, business or professional associations, memberships and accreditations) and other deductions (e.g., donations, personal super contributions). Tax File Numbers can be sighted but will not be held.
- Business records, including business numbers, ABN, business name and website.
- Support and information services records, including those related to safety (such as building/room access and image surveillance recordings on our premises), and parking information (such as vehicle registration).
- Client records, including eligibility due to economic, social, or personal factors (such as equity group - Aboriginal and / or Torres Strait Islander person, migrant, disability/illness, elderly, financial hardship, low income), tax assistance need, personal circumstances related to assistance, accounts, employee numbers, and correspondence between you and the university.
We collect, hold, use and disclose your personal information to:
- administer support and information services;
- enable security and other health and wellbeing services for your and other’s safety, health and wellbeing; and
- respond to emergencies and notify your emergency contacts, emergency services, or the relevant authority in an emergency, to lessen or prevent a serious threat to yours or another person’s life, health or safety or public health or safety, where it is impractical to obtain your consent, or if there are reasonable grounds to be concerned about your welfare or safety; and
- support and assist with:
- preparing and lodging individual Australian tax returns;
- tax file number (TFN) registrations or lost or stolen TFN;
- tax debts and payment arrangements;
- small business registrations, including ABN and GST;
- lodging business activity statements; and
- other tax issues.
We may disclose your personal information outside the University in limited circumstances. This may be to:
- Australian government agencies and departments (such as the Australian Taxation Office);
